Occupancy Terms

Yes. Machines are available for use at each property at a pay-per-load rate via a card or online payment.

No pets are allowed for visitation or occupancy. Notify RPG is you have a service animal requirement.

The facility remains open during fall, thanksgiving, and spring breaks. The facility does close for winter and summer break meaning occupancy is not permitted during those times. If you have a need to occupy the chapter facility over winter break, you must submit the Break Occupancy Request Form for approval.

Most houses are closed for summer occupancy.

Room assignments are finalized by September 1. Any room changes thereafter must seek approval by submitting the Room Change Request Form and are subject to a $150 room change fee.

Not all properties have a meal plan. If your facility does, RPG has contracted with our preferred partner, Upper Crust Food Service to offer hot and cold meals weekly. Most commonly meals are served Monday through Friday for 14 meals a week (continental breakfast, hot lunch and hot dinner). Meals are not provided on the weekends or over academic breaks.

Anyone with a dietary need or preference must notify Upper Crust Food Service via the food service phone app to report your account and register your needs.

Occupants may use the member kitchenette if available.

The chapter and its occupants are responsible for taking care of the facility. See Exhibit B Janitorial Services. Some properties may have a weekly cleaning service to help supplement the house services.

Yes, most RPG properties are substance free.

All occupants, not just the house manager, are responsible for and able to submit maintenance needs via the Tenant Portal.

Occupants should notify their house manager for assistance. For immediate assistance, they should contact RPG directly. They should not take measures themselves to break down the door or pick locks.

Occupants are allowed to host guests at the chapter facility. Keep in mind occupants are responsible for the actions of their guests including damage. Guests are not permitted to stay longer than 3 consecutive days.

Per the sublease, RPG reserves the right to enter any space within the house for maintenance, inspections, etc. We aim to give prior notice but it is not required.
Financials

The payment schedule options are once a semester billing or monthly. Semesterly billing is due on August 1 and January 1. Monthly billing is due August 1 through May 1 for 10-month sublease terms or through July 1 for 12-month sublease terms.

Yes. Occupants are encouraged to set up autopay on their RPG portal.

Most commonly our late fee policy is 5% is applied on the 10th of the month for any account with an outstanding balance. A compounded additional 10% late fee is added for any outstanding balance as of the 30th of the month. Some subleases may vary in this policy.

To pay your account via credit or debit card, there is a $2.00 + 3.99% finance charge. Any payments made with a checking or savings account has a flat $2.00 finance charge. You can also mail in a check payment with no finance fee.

RPG aims to post charges at least 14 days prior to the due date (typically the first of the month) where you will receive an email notice of an account statement showing the upcoming charges due. There may be charges that are applied onto the account outside of this timeframe, typically if there are damage charges from a recent issue, which we will post the charge immediately to be due on the 1st of the next month.

No. RPG bills occupants a projected utilities rate based on your payment schedule selected in your sublease. This rate is determined by historical data divided by the number of occupants. At the end of each semester, RPG will audit the actual utilities used vs the projected rate and issue a credit or charge for the difference.

The utilities billing includes gas, electric, water, sewer, internet, pest control and janitorial services.

Occupants may be charged for damages that are beyond normal wear and tear. Occupants are encouraged to report who is responsible for the damage in order to not have the cost charged to them. Damages to common areas of the facility will be split equally amongst all live in members unless the responsible party is identified.

Yes. RPG has acquired a renter’s insurance policy for all occupants with a minimum policy of $10, 000 personal property and $100,000 liability coverage.

Yes, occupants have up to 2 weeks following when a charge is applied to their account to appeal charge by filling out the Charge Appeal Request Form.
Appeals will automatically be denied for any cleaning item or if the occupant failed to submit a Move-In Inspection form.

RPG does not collect a security deposit. RPG collects a Chapter Membership Deposit from all members, live in and live out, in accordance with the Chapter Membership Agreement. The Chapter Membership Deposit may be requested to be returned within 6 months of graduation by completing the Chapter Membership Deposit Request Form.
Move In/Out

The move in date is typically the Friday before the first day of classes while the move out date is either the day after commencement or May 31st, whichever is earlier.

Occupants are encouraged to bring supplies for their coursework, bed linens and towels, laptops, charges, personal hygiene items, laundry detergent.

Items that are not permitted on chapter house premises include: candles, incense, space heaters, firearms, weapons, fireworks, and extension cords, Cooking equipment is permitted but may only be used in the designated cooking areas.

Occupants are responsible for receiving their key/door code and submitting to RPG the Move-In Inspection Form stating the condition of their space upon moving in. Failing to submit a move-in inspection form could result in charges upon move out.

Occupants may decorate their space as long as they do not violate fire safety items such as hanging items off of sprinkler heads & lines or removing smoke detectors or make any permanent changes like painting, building furniture, or securing things into the wall. We strongly encourage occupants to not display LED light strips or use 3M stickies as both often cause damage to the room upon removal.

The most common move out charges include trash removal of common areas of the house (like laundry room, kitchens, storage closets and chapter rooms), LED light strips, missing window screens, and wall scuffs.

All items must be fully removed from bedroom spaces during move out. You must coordinate with the other individual to share/buy/pass furniture.

Members will be offered the opportunity to sign up for a storage pad that can be used to place their items into and store locally over the summer for a small fee. There will no longer be any storage available in your room or inside the chapter house.

Yes. Occupants are responsible for leaving the space the same if not better space than when moving in which includes wiping down all furniture/fixtures, emptying all trash and personal belongings, removing decorations, sweeping and mopping/vacuuming, wiping down the window, window sill and walls and replacing any burnt out light bulbs.

RPG is intentional to send email correspondence to occupants regarding late fees and statements monthly to remind occupants of their financial obligations. When those our outreach goes unanswered for a balance more than 90 days past due, RPG will send the account to our collections agency Fairway Capitol Recovery. RPG will not be able to work with an occupant once they are in collections. The collections agency will attempt to reach you to resolve the balance taking measures necessary such as reporting to creditors and legal action.
Out of House Member Obligations

Yes. Out of house members still have an obligation to the chapter facility including following the overarching terms of the master lease and chapter house rules. Inquire with your chapter president for a copy of the master lease terms.

The Out of House Fee helps subsidize the expenses of operating the chapter property. Out of House Members have access to use the facility for chapter meetings, study space, social and brotherhood events, philanthropy hosting, and more thus they have obligations to assist in maintaining the facility.

The Out of House is $250 a semester, each semester. The Out of House Fee is due on August 1 and January 1 of each semester.

The Chapter Membership Deposit ranges from $500 to $1000 and is due by August 1 of the first full year of membership.
